Schedule Report Emails in Aplos

The Scheduled Email feature in Aplos lets you automatically send saved Income Statement reports to your team or stakeholders on a recurring basis. Whether you need to send a monthly P&L or a weekly financial update, this feature saves you time and keeps everyone in the loop.

Note: This feature is currently only available for saved Income Statement reports.


 

How to Schedule a Report Email

  1. Open a Saved Report
    • Navigate to a saved Income Statement report from your Reports screen.
  2. Click “Share” -> “Schedule Email”
    • In the top-right corner, click Share.
    • Select Schedule Email from the dropdown.
  3. Fill Out the Schedule Details
    • Schedule Name - Enter a name for your schedule (e.g. "Monthly Financial Report").
    • Attachment Format - Choose a file format:
      • PDF
      • CSV
      • XLSX
    • From & Reply-To Email
      • From Email defaults to comms@aplos.org.
        • If your organization has an authenticated email domain, it will appear in the dropdown. 
      • Reply-To Email can be:
        • An Aplos user’s email.
        • Any email added via the Email Marketing section.
    • Add Recipient - Enter the To, CC, and BCC email addresses.
      • New emails will automatically be added as contacts in Aplos.
    • Email Subject & Body - Enter a subject line and message for your recipients.
    • Set the Frequency - Choose how often to send the report:
      • Daily – Select a time.
      • Weekly – Select a day of the week and a time.
      • Monthly – Select:
        • Frequency (every 1, 2, or 3 months)
        • Day of the Month
        • Time
    • Time Zone - Choose the appropriate time zone for the delivery time.

  4. Once complete, click the Schedule Email button at the bottom

 

Managing Your Scheduled Emails

To view or manage your scheduled emails:

  1. Go to the Reports tab.

  2. Click Manage Emails.

  3. From here, you can:

    • Edit an existing schedule to change settings.

    • Delete a schedule if it’s no longer needed.


 

Tips & Reminders

  • Only saved Income Statement reports can be scheduled.

  • Adding a new recipient creates a new contact in your Aplos account.

  • To use a custom sender email, make sure your domain is authenticated with Aplos.

  • Use CC and BCC to loop in multiple people without crowding the main recipient field.
