Gusto: How To Setup Global Mapping

Integrating Gusto payroll with your Aplos account streamlines payroll accounting, but setting up your Global Mapping correctly is essential to ensuring accurate tracking of expenses and liabilities. This guide walks you through the steps to configure your Global Mapping and answers common questions regarding payroll account mappings.

 

Accessing Global Mapping

To begin, navigate to the Global Mapping screen by selecting the box with the down arrow located at the top-right corner of the payroll screen in Aplos. This section allows you to designate how payroll expenses and liabilities will be allocated within your Aplos accounts.

 


 

Configuring Global Mapping

On the Global Mapping screen, there are a few actions that can be taken:

  1. Select Necessary Funds – Choose the fund(s) you want your payroll transactions to be associated with.

  2. Enter Accounts – Assign the appropriate accounts for each payroll-related expense and liability.



  3. Splitting Accounts – If you need to split an account, click the plus (+) icon on the right-hand side for that account to add multiple allocations then use the percentage boxes to split out the amount accordingly.


  4. Mapping Tags (If Enabled) – If your Aplos account has tags enabled, you can map tags to each expense or liability line item. However, only the account can be split; tag categories cannot be divided.

Note: Global Mapping affects all employees, meaning individual exemptions cannot be made at this stage. If you anticipate different mappings for each employee, enter a placeholder account in Global Mapping and adjust it later in Individual Employee Mapping.

Mapping every account is required to ensure accurate payroll tracking.

 


 

Understanding Payroll Categories

When mapping accounts, Aplos will only display the necessary categories based on your payroll setup in Gusto. If a specific benefit or liability is not applicable (e.g., a 403b benefit), it will not appear in your mapping options.

Below are the main categories you will need to map:

1. Funds

  • Choose the fund you want your payroll to be connected to in Aplos.

2. Salaries & Wages

  • Select the salary expense account where employee wages should be recorded.

3. Benefits

  • This section includes:

    • Withholding amounts (liabilities)

    • Employer-paid benefits (expenses)

  • These accounts will vary depending on the benefits configured in Gusto.

4. Taxes

  • Your tax mapping will depend on state-specific tax regulations and your payroll settings in Gusto.

5. Fixed Compensations

6. Funding Sources

  • Select the asset account from which payroll payments will be deducted in Aplos.

 

Once you are finished mapping the categories to the applicable Aplos accounts, click Save. You can edit this global mapping at any time, but keep in mind that any changes to the mapping will only affect future payroll imports.
