Importing Transactions with Bank Integration

Once your bank is successfully connected, the Bank Integration screen becomes your hub for coding and importing transactions into your Aplos accounting registers.

 

Setting Up the Target

Before retrieving transactions, ensure the imported data will land in the correct account:

  • Source: Located on the left side, this is the connected bank account from which transactions are being pulled (e.g., PayPal). You can switch between any of your connected accounts here.
  • Target: This is the specific asset or liability register in Aplos (e.g., your Checking Account register) that the transactions will be imported into. Ensure this is set up correctly initially, and the system will save it for future use.

 

Retrieving Transactions

Click Retrieve Transactions. Aplos will typically pull transactions dating back 30 to 90 days, depending on the bank's connection parameters. The retrieved transactions will populate the screen, ready for coding.

Reviewing and Coding Transactions

You must review and fill out all required fields before importing. The system uses intelligence to simplify this process:

  • Payee: The system attempts to auto-populate the Payee name based on the bank data. 
    • If the name is new, the system will create a new contact record upon import.
    • If the payee is an existing contact, you may need to type in the name to select and confirm the correct record.
       
  • Account and Fund: You must select the income or expense account and the fund the transaction should be coded to.
    • The system learns over time. If it recognizes a pattern for a recurring payee, it may start to auto-populate the Account and Fund.

You can turn this feature on or off with the "Guess Payee Name" box to the right

 

Utilizing Advanced Tools

During the review process, you have tools to manage complex entries:

  • Split Transactions: Click the plus sign () icon to create a split transaction. This allows you to allocate the amount across multiple expense accounts, funds, or tags.

  • Duplicate Alerts: The system automatically alerts you to potential duplicates (transactions with the same amount within five days previous or future of the imported transaction).
  • Search and Duplicates: You can manually use the Search Transactions button to look for existing transactions in the system that may match the imported item.
  • Hide Transactions: You can also hide any transactions you do not need to import. This will move these to a hidden page, where you can access them by searching for hidden transactions. To learn more about how to access hidden transactions, check out this article

 

Finalizing the Import

Once all required fields are filled out, the Import button will become available (a brighter green color).

  • Import Selected: Check the box at the very top of the list to select all coded transactions, then click Import Selected Transactions.
  • Import Individually: Click the Import button on each transaction line one at a time.
