The Aplos Register screen is designed to be more than just a list of transactions; it's a powerful tool for finding exactly the information you need, right when you need it. Here's a guide on how to search, filter, and sort your transactions to quickly manage your financial data.
Searching and Filtering Your Register
At the top of your register, you'll find a dedicated section with robust search and filter options. This allows you to narrow down your transactions based on specific criteria.
- Search Bar: Use the search bar to find transactions based on the following details:
- Contact: Find transactions related to a specific vendor, donor, or person.
- Check Number: Quickly locate a transaction by its unique check number.
- Amount: Search for a transaction with a specific dollar amount.
- Memo: Find a transaction using keywords from the memo field.
- Date Range:
- Choose from pre-selected date ranges (e.g., this month, last quarter).
- Select Custom Range to enter your own specific start and end dates.
- Additional Filters:
- Account, Fund, or Tag: Filter your transactions by a specific general ledger account, fund, or tag (if enabled). This is extremely useful for generating quick reports on a particular project or department.
- Amount Range: Instead of a single fixed amount, you can search for transactions within a specified amount range (e.g., $50.00 to $100.00).
- Reconciled Status: Filter to show only reconciled or unreconciled transactions. This is a great feature for checking your progress during bank reconciliation.
Sorting Your Transactions
To view your transactions in a different order, you can sort them directly from the list. Simply click the arrows next to each column header to sort the data in ascending or descending order. You can sort by any column except for the "Memo" and "Balance" columns.
Exporting Your Filtered Data
A key benefit of the Register screen is the ability to export your custom filtering without needing to go to the Reports section.
- After you have searched and/or filtered your transactions to your desired view, click the Export button in the top right corner.
- Choose your export format: CSV or Excel.
- You also have the option to include a separate row for splits if any of your transactions were allocated to multiple accounts, funds, or tags.
This is an excellent tool for generating quick reports on a specific asset or liability, saving you time and giving you instant access to the information you need. By using these powerful features, you can ensure your data is always organized and easily accessible.
