If you ever need to make changes to a transaction, you can do so by selecting the three dots to the right under the actions column. Actions available on a transaction include: move, edit, duplicate, void, add attachment, and delete.
Please note, that if the action is not something that can be done on the transaction (i.e. cleared via bank reconciliation, or entered in the accounts payable/receivable modules) then the action will not populate as an option in the dropdown.
How to Move a Transaction to a Different Register?
If you accidentally posted a transaction to an incorrect register, you can click on the actions to the right of the transaction and select "Move."
This will open an option to select a new register where the transaction should be assigned. This option is not available if you have already cleared the transaction through bank reconciliation.
How to Edit a Transaction
There are two ways to edit your transactions in Aplos:
- Click anywhere on the transaction
- Click the three dots under the actions column and select the edit option
Once you've selected the edit option a panel will open up from the right side of your screen for you to make any changes you need to. Depending on the status and where the transaction was entered in Aplos will determine what fields will be able to be changed.
Once you have made any desired changes, be sure you click the save button in the bottom right.
How to Duplicate a Transaction?
If you click on a previously entered transaction, you can click the action option to the right and select the “duplicate” option to start a new transaction using those details.
You will just need to add the date and adjust any other details you need, and then submit. If you wish to duplicate transactions on a recurring schedule, see the Recurring Transaction feature.
How to Void a Transaction
You can void a transaction that you’ve previously entered by selecting the actions to the right of the transaction and selecting "Void".
This process will create a reversal transaction with a date of your choosing. To learn more about view our resource on voiding transactions in Aplos.
Keep in mind that if you have cleared this transaction using Bank Reconciliation, or if this transaction is included in a closed period, you will not see the option to void/delete unless you re-open the reconciliation or period. If this transaction is tied to an Accounts Receivable entry, you will need to first delete the payment altogether, and then re-enter this directly from the Register (instead of the AR module). Once re-entered, you can follow the above steps to finish voiding the entry.
How to Attach a File or Receipt to a Transaction?
When recording a transaction in your Register, you may need to attach an image, such as a receipt, for future reference. This is easy to do from any posted transaction.
There are two ways to access the attachment option once a transaction has been posted:
- Click on the actions option to the right of the transaction on the main screen and select "Add Attachment"
- Click on the transaction to expand to the detail view and in the top right select the actions dropdown where you will see the option to "Add Attachment"
Once you click this option, a pop-up will appear. Click “Choose File” to search for the image of your receipt, or select a file that you’ve previously imported to your File Box. Once your file is chosen it will appear below the upload area. You can then review you attachments and select the "Add" button to save.
You now have the image attached to your transaction! You can then see how many attachments a transaction has by checking the paperclip icon column on the register screen
If you would like to view your attachment applied to a transaction you can do so by clicking the actions option to the right and choosing "edit attachment". this will pull up the attachment pop-up window where you can scroll down and click the magnifying glass to view your attachment in a new tab.
How to Delete a Transaction?
While deleting a transaction may not be as common in your accounting system, there may still be circumstances where you may need to delete a transaction. In Aplos a transaction can only be deleted if it has not been reconciled or and it is not in a closed period.
If you do need to delete a transaction, do so by selecting the actions to the right of the transactions and selecting "Delete"
