How To Integrate Raisely with Aplos

The Raisely integration connects your fundraising and accounting workflows by syncing donations from Raisely into Aplos.

With the integration, setup is completed entirely in Aplos. This also supports Raisely Designations, so donations can be mapped to the correct Aplos Purposes for accurate fund accounting.


Before you begin

Before connecting Raisely to Aplos, make sure:

  • You have administrator access to both your Aplos and Raisely organizations.
  • Your Raisely organization has the Designations feature available.
  • Your Aplos Purposes have already been created and reflect how you want donations categorized.

đź’ˇIf Designations are not yet enabled for your Raisely organization, Aplos can help enable them during setup. If you have a lot of purposes you need to map over into Raisely for giving, this route may be more efficient.

Connect Raisely to Aplos

To begin setup:

  1. In Aplos, go to Partners.
  2. Select Link My Account on the Raisely card showing.
  3. Click Connect.
  4. Sign in to your Raisely account.
  5. Authorize the connection.
  6. After authorization is complete, you’ll return to Aplos to finish configuring the integration.

Step 1: Select a Default Purpose

The first setup step is selecting a Default Purpose.

The Default Purpose is required to complete the integration setup. Choose the Aplos Purpose that best represents your default fundraising activity. If you already have designations created in Raisely, the default purpose will be used to map to any of these designations that do not have a matching purpose in Aplos.

⚠️ New Raisely Designations are not automatically mapped to the Default Purpose. Any new Designations created later must still be mapped before donations using those Designations can sync successfully.


Step 2: Map Designations to Purposes

Next, map each Raisely Designation to an Aplos Purpose.

This mapping determines which Fund, Income Account, and Tags are applied when donations are imported into Aplos.

If Designations have not yet been created in Raisely, Aplos can help you enable them during setup. You may also be able to create Raisely Designations from your existing Aplos Purposes to make initial setup faster.

If new Designations are created later in Raisely, they will automatically appear on the Raisely Configuration page in a Needs Review state. These Designations must be mapped before donations using them sync over into Aplos.

Step 3: Configure your accounting for your Payment Processor

For each connected payment provider, choose the accounts Aplos should use when importing transactions.

Each provider requires:

  • Asset Account - typically you will have an asset account created for that specific processor (i.e. Stripe or Paypal)
  • Expense Account - this is to map the expenses associated with online giving processing fees.

These mappings ensure donations and related accounting entries are recorded correctly.

Step 4: Review and start the integration

Before activating the integration, you’ll see a summary of your configuration.

Review the following:

  • Default Purpose
  • Designation mappings
  • Accounting account mappings

When everything looks correct, click Start Integration.

Your Raisely donations will now begin syncing into Aplos.


Manage your Raisely integration

After setup, you can manage the integration at any time from the Raisely Configuration page.

From this page, you can:

  • Edit Designation mappings
  • Change accounting account mappings
  • Refresh Raisely Designations or Aplos Purposes
  • Disconnect the integration

Changes made on the Raisely Configuration page apply to future transactions.


What happens when new Designations are created?

If someone creates a new Designation in Raisely after the integration is connected:

  1. The new Designation automatically appears on the Raisely Configuration page.
  2. It is marked as Needs Review.
  3. Donations using that Designation will wait until the Designation has been mapped.
  4. Once the mapping is completed, the affected donations can be retried.

This helps prevent donations from being assigned to the wrong fund.


Important notes

Designations drive fund allocation

Every donation imported from Raisely uses its Designation to determine which Aplos Purpose should be applied.

Because each Purpose is associated with a Fund, Income Account, and optional Tags, keeping Designation mappings up to date is important for accurate financial reporting.

Multi-currency

The integration does not support currency conversion.

If your Raisely organization uses multiple currencies, amounts are imported exactly as provided by Raisely. We recommend using the same accounting currency in both Raisely and Aplos.


Frequently asked questions

Do I need to reconnect if I already use the Raisely integration?

Yes. The integration uses a new Designation-based setup flow. Existing integrations must be reconnected through the new setup experience.

Can I change my mappings later?

Yes. Designation mappings and accounting account mappings can all be updated from the Raisely Configuration page in Aplos.

What happens if I create a new Designation?

The new Designation will automatically appear in Aplos as Needs Review. Assign it to an Aplos Purpose before donations using that Designation begin syncing.

Will my contacts still sync?

Yes. When a donor gives through Raisely, Aplos will create or update the corresponding contact using the information received from Raisely.

How are existing contacts matched?

Aplos attempts to match existing contacts before creating a new one to help reduce duplicates.
