Check-In Events: Kiosk

Ensuring a smooth and efficient check-in process is crucial for managing attendees at your event. This guide walks you through launching and managing your kiosk using Aplos, covering essential setup steps, self-service and staffed kiosk options, and troubleshooting common issues.

 

 

 

 

Preparing to Launch Your Kiosk

Before launching your kiosk, follow these steps to ensure the check-in process runs smoothly:

  1. Verify Check-In Availability
    • Navigate to the check-in availability column for your event.
    • Confirm that the status is set to "Open."
    • If the status is "Closed," check the following:
      • Ensure that the event date matches the current date.
      • Verify that the event's check-in start and end times include the current time.
    • Adjust as necessary and save your settings. After saving, the check-in status should now be "Open."
  2. Confirm Admin Role: the kiosk can only be launched with Aplos Admin user role login credentials to be sure you have access to admin user role credentials before attempting to launch

Launching the Kiosk

Once the check-in availability is confirmed as "Open," follow these steps to launch your kiosk:

  1. Click the launch link on the right-hand side of the screen.
  2. Log in using your Aplos Admin user credentials.
  3. After logging in, proceed with setting up either a Self-Service Kiosk or a Staffed Kiosk.
  4. Select a location, event, label printer, and label size.
  5. If you choose choose to print labels, you can see a preview and print a sample to ensure proper set up

 

Self-Service Kiosk

Self-service kiosks allow attendees to check in independently. Once the set up is complete, here’s how it works:

  1. Attendee will enter in their phone number
  2. If their number is not found, they will select "I am a guest" (if enabled).
    • Entering their first name, last name, and phone number.
      • For children’s check-in, select "add child", then enter in: child's first & last name, and custom label fields
  3. Confirm their name for check in and select a check-in room (if multiple options are available).
  4. Once completed, the screen resets after five seconds for the next attendee.

Device Compatibility:

  • The kiosk can be run on an iPad, tablet, or any device with access to an internet web browser (chrome or firefox is preferred).

Staffed Kiosk

A staffed kiosk allows an event team member to manage the check-in process. Here’s how it works:

  1. Staff will check them in by entering their first and last name.

  2. If the attendee is found in the system:
    • Their name will appear for selection.
    • If multiple household members exist, you can check them in together.
    • Choose the check-in room.
  3. If an attendee is not found in the system:
    • Use the "Add a Guest" option.
    • Enter the guest’s first and last name.
    • Proceed with check-in as usual.

Finalizing Check-In & Attendance Reporting

Once the check-in process is complete, you can generate an attendance report:

 

By following these steps, you can streamline the event check-in process, minimize wait times, and ensure a seamless experience for attendees.
