Welcome to our how-to guide on recording bank transfers in Aplos. This guide will show you how to accurately document transfers between your bank accounts using either the register or a journal entry. Whether you’re moving funds from savings to checking or between other accounts, this tutorial will help you manage your finances effectively in Aplos.
How to record in the Register:
On the Register page, you'll see a blue box at the top where you can select the register you’re working in. Here, choose the register (Bank Account) from which you’ll be transferring money. In this example, we’ll use the Savings register.
The entry line will include the transfer date, your bank’s name as the Payee, the destination bank as the account (Checking), and the payment amount for the transfer. This functions as if one bank is paying another; see the screenshot below:
How to record in Journal Entry:
When using Journal Entry, you will need to use the debit and credit columns to post the transaction. The debit column will be the bank the money is being transferred to (Checking), and the credit column is the bank the money is coming from (Savings). See the screenshot below.
Transferring Money Between Banks and Funds:
In this example, we have two different funds: the General Fund and the Missions Fund. Suppose we want to transfer $1,000 from the Missions Fund in our savings register to the General Fund in our checking register. To do this, we’ll need to complete two transactions. First, we’ll transfer $1,000 from the Building Fund to the General Fund within the savings register. Then, we’ll execute the bank transfer as described in the process above.
Below is a visual representation of the process. First, we will perform a fund transfer between the Building Fund and the General Fund within the savings register. Then, we will execute a bank transfer for the General Fund between the checking and savings registers.
The first transaction will take place in Journal Entry. Once on this screen, click “+ Start New Fund Transfer”. You will then move money from the Building fund to General fund within your Savings account.
See screenshot below:
Once the money is transferred between funds, you can now transfer it between your bank accounts. This repeats the process explained above.
Note: Fund transfers will appear on the Balance Sheet reports
